The role of the Project Administrator is to assist the Project Manager with assignments. This includes customer account maintenance, financial collections, travel arrangement, binder organization, and all Project Management departmental tasks. This person would be the PA on multiple projects at a time, working with more than one Project Manager at a time.
Responsibilities:
- Assist with project setup and maintenance of project records (including but not limited to subcontractor attachments, project logs, assorted project templates)
- Order and distribute drawings
- Prepare, email and log subcontractor contracts and change orders
- Request, evaluate and log all subcontractor insurance certificates
- Monitor and update expired insurance certificates
- Collect, log and assemble all project close-out documents
- Work closely with accounting to ensure accuracy of data
- Assist with various office duties as needed (kitchen stocking, incoming and outgoing mail/packages, phone coverage, photocopying, filing, faxing, office supplies, and company events)
- Job duties may expand over time depending on needs
Qualifications:
- 3+ years of experience handling construction projects, demonstrating proven ability to work well under pressure
- Proficient in Microsoft Office and Adobe X
- Ability to read and understand bid documents
- Possess good analytical skills with strong attention to detail
- Ability to work with minimal supervision; possess self-discipline with the ability to effectively prioritize
- Strong understanding of project flow from preconstruction through project completion
- Strong internal office and field communication skills
- Ability to represent company in a professional and positive manner
- High school education or equivalent
